Commercial Furniture Lead Times: A Realistic UK Guide

What's genuinely realistic for stock, built-to-order and bespoke pieces in 2026, plus how to plan backwards from your install date so nothing slips.

The three lead-time categories

Contract furniture in the UK falls into three broad buckets (stock, built-to-order and bespoke) and the timeframes for each are very different. Mixing them on one project without planning the delivery sequence is one of the most common reasons installations slip.

Stock: 1–3 weeks

A handful of UK manufacturers and distributors hold meaningful stock on their top-selling lines: standard task chairs, popular meeting chairs, stock desking components, some steel storage. Real stock, held in a UK warehouse and ready to ship, is typically 1–3 weeks from order to delivery, and that includes the supplier's QC, paperwork and our consolidation.

Stock availability is the exception, not the rule. Most "in stock" claims in a contract context mean "available from our production queue", which is built-to-order, not stock in the true sense. If speed matters, ask specifically for "UK-held stock" and ask for the commitment in writing.

Built-to-order: 6–10 weeks

The default for most contract furniture. Your chair is built when you order it, to your chosen fabric, frame and mechanism. Typical lead times for UK-made built-to-order pieces are 6–8 weeks; European-made (Italian, Scandinavian, Spanish) are 8–10 weeks; some far-east supply chains are 10–14 weeks with sea freight, sometimes longer if customs queues build up.

The variables that push built-to-order out further: non-standard fabric (the mill might have a 2–3 week lead on the textile before production can start), specific powder-coat colours, non-standard dimensions on systems furniture. A good supplier will tell you the critical path item up front, not at week six when you chase.

Bespoke: 10–16 weeks

Custom banquette seating, bespoke reception desks, one-off boardroom tables, architectural joinery. These pieces require drawings, sign-off, prototype approval in some cases, and dedicated workshop capacity. Ten weeks is ambitious; 12–16 weeks is realistic. On complex pieces with multiple materials, sign-off iterations, or requiring on-site template work, add another 2–4 weeks.

The planning-backwards framework

Work backwards from the day you need furniture in use:

  • Install week (W0). Site access, staged delivery, assembly, commissioning, defect check, handover.
  • Delivery window (W−1 to W−2). Furniture arrives at site or is held at our consolidation warehouse for staged release to site.
  • Production complete + QC (W−3 to W−4). Final manufacturing, inspection, packing.
  • Order placed, specification locked (W−10 for built-to-order; W−16 for bespoke). This is the no-change-after-this date; pushing specification decisions past here cascades into the install window.
  • Specification / sign-off (W−12 to W−14). Sample approval, fabric sign-off, drawings signed for bespoke pieces.
  • Design / concept (W−16 to W−20). Space planning, product selection, budget conversations.

That's a 16–20 week window for a typical mixed project from concept to in-use. Shorter is possible when stock is available and specification is decisive; longer is common when sign-off loops drift.

Fixed-date projects: education and hospitality

Some sectors have immovable dates. Education furniture installations typically happen in the summer break, so placing orders in April–May for August delivery is tight; March is comfortable. Hospitality openings are driven by licensing, marketing and booking windows: soft launches can absorb a week's slip, hard opening dates cannot. In both cases, build the timeline with the opening date as the fixed point and work back with honest production times.

We tell clients honest lead times up front, even when that means recommending a different product that can arrive in time. We'd rather lose a line on the specification to something in stock than hit week eight of an eight-week project with a delivery we can't guarantee.
